One Shelf on Its Own

The page for a shelf that needs something said about it: a note, a photograph to delete, or an item that turns out to be two.

Tapping a row on the shelf list opens it here. The Count tab walks a bay; this is where you end up when one particular shelf needs more than a number.

1What is on the page

← All shelves at the top returns to the list, with your search and your place intact.

Then four cards, top to bottom:

  1. The shelf itself — its name, its code, size and thickness, the category and the SKU. A note already on it shows here in amber.
  2. Count — the same box as the counting screen, with its unit beside the label. On a count that is not blind, system said 12 appears underneath. not saved yet appears while you have typed something and not pressed Save.
  3. Note — free text. The screen says what it is for: “Anything the next person needs to know about this shelf. It travels with the count.”
  4. Details — Category, Code, Size, SKU, and Counted with the date and the name of whoever did it.

At the bottom, pinned: ←, Save, →. The arrows move to the shelf before and after this one in the count’s own order.

Warning

Save is explicit here. On the counting screen, Next saves for you. On this page nothing is written until you press Save — because a note and a number are usually typed together, and saving halfway through would file half a thought.

2Write a note worth reading

The note travels with the count and turns up in two other places: as a ! tag on the shelf list, and in the Needs info list on the summary.

Write what the next person needs:

  • Two boxes water-damaged — set aside on the bottom shelf, not counted here.
  • Bay empty. Reordered last week.

Not check and not ?. Somebody reads these at a desk a week later, deciding whether the count can be applied.

3Photographs

📷 Take photo works as it does on the counting screen. What is different here is that photographs can be removed — the ✕ on a thumbnail deletes it, after a confirmation, from the item and from disk.

That is the only screen that can delete one.

4What you cannot change here

The name, the code, the size and the category are shown and are not editable. The screen says where they are edited: “The product record itself is edited under Inventory → Stock Items.”

Why it works this way

Those fields belong to the catalogue, not to this count. They are used by purchases, transfers and issue notes going back years.

Renaming a product from a counting screen would rewrite documents that have nothing to do with this count — last year’s purchase order would silently start describing a different thing. What a counter can say about a shelf is the quantity, a photograph and a note, and that is the whole of it.

5Found something else on the shelf

Clone this item — under Found something else here? — creates a new item at the same size and code as this one, under a different name. It is the commonest way a new item is found: the same shelf, another colour.

A sheet asks for the Category, the Name, the Size, the Thickness and the Code, and tells you what it will do: “It joins this count as a new shelf, counted in Pieces.” Press Create & count and you land on the new shelf, ready to count it.

Note

If the item already exists you are told so rather than given a duplicate: That item already exists, with the item named and one button — Go to that shelf if it is already on this count, or Add it to this count if it is not.

Nothing is created either way. The catalogue does not gain a second record of a thing it already had.

Clone this item and + Add need the permission to create stock items. A counter without it can count everything they are given and cannot invent stock records — which is the right split.

What happens next

Press Save, then → to move on, or ← All shelves to go back to the list.

Everything recorded here — the number, the note, the photographs — waits on the count. Applying it is a separate step, at a desk.

If it goes wrong

What you see What it means
not saved yet will not clear Save has not reached the server. The text is safe on the phone; get back into signal and press it again.
The ✕ on a photo is missing The count is closed. Photographs can only be removed while it is open.
No Clone this item card Your role cannot create stock items.
The arrows skip past shelves you expected They follow the count’s own order, not whatever you had the list sorted or filtered to.
You typed the count on the wrong shelf Type the right number on it and Save again. The last number saved is the count; the change is recorded against your name.
