Credit Notes

Cancelling a bill that has already been posted — and saying why.

A credit note reverses an invoice. It is how a posted bill is undone, because a posted invoice is never edited.

Warning

There is no way to create a credit note from this screen, and that is correct.

A credit note always credits a particular invoice. It is raised from the invoice it reverses, which is what guarantees it can never point at nothing.

1Open the list

Go to Credit notes.

The columns are Number, Customer, Against, Status, Why and Total.

Against names the invoice being credited. Why is the reason, and it is a column rather than a detail buried inside the record — because it is the first thing anybody reviewing one wants to know.

2Open one

Click a row. The note shows the invoice it reverses and the reason recorded against it.

What happens next

Why it works this way

The reason is required, and the screen puts it in a column for a reason of its own: a credit note without an explanation is the document an auditor asks about.

“Sign returned after installation — the customer changed the branding before we mounted it” answers the question before it is asked. “Correction” does not.

Posting a full reversal cancels the invoice it credits — the invoice’s status changes, and it stops appearing as owed.

The row menu offers View only. A credit note cannot be edited or deleted: it is the record that a bill was withdrawn.
